# Allocation sheet

> Add several shifts in one table and save them together

The **Allocation sheet** tab in [Allocate Shifts](https://support.rotapad.com/my-rota.md) lets you add several shifts in one table and save them in one go. It works across different homes and customers, and each staff member gets one email instead of one per shift.

> [!NOTE]
>
> Only team leads, support and admins can use the **Allocation sheet**. See [Roles and permissions](https://support.rotapad.com/roles-and-permissions.md).

## Add shifts

**1. Open the tab**

In **Allocate Shifts**, click the **Allocation sheet** tab.

**2. Choose who**

Pick a **staff member** in the bar at the top of the page. This fills in **Staff** on every row.

**3. Fill in the row**

Choose the **Shift date**, **Customer**, **Home**, **Start time**, **End time** and **Type**. **Comment** is optional. The list of homes only shows the chosen customer's homes.

**4. Add more rows**

Click **Add shift**. The new row copies the last row and moves it to the next day, so you usually only change a field or two.

**5. Save**

Click **Save**. The button shows how many shifts you're saving, for example **Save 3 shifts**.

Times work the same way as the shift form, so you can type `730` or pick from the list. See [Enter a time](https://support.rotapad.com/add-edit-rota.md#enter-a-time).

## Give a shift to someone else

Change **Staff** on that row to put one shift under a different person.

> [!WARNING]
>
> Picking a staff member in the bar at the top replaces **Staff** on every row, including any you changed by hand.

## Remove a row

Click **🗑** at the end of the row. Nothing is saved until you click **Save**, so this only removes it from the sheet. **Cancel** clears the whole sheet.

## If something is missing

Every field except **Comment** is required. If you click **Save** with something missing, those cells turn red, a message tells you how many rows need fixing and nothing is saved.

A row you haven't filled in at all is ignored when you save.

## Filter and sort

Use the sheet the same way as the **Summary** table:

* Pick a **customer** or **home** in the bar at the top.
* Click a column's filter icon.
* Click a column heading to sort.

> [!WARNING]
>
> **Save** includes every row, even ones hidden by a filter. The message at the bottom shows this, for example **Showing 1 of 3 rows. Save includes them all.**

## On a phone

The sheet is the same table on a phone. Swipe sideways to reach the other columns.

## What staff receive

Each staff member gets one email listing all their new shifts, in date order. See [Rota emails](https://support.rotapad.com/rota-emails.md).

After you save, the confirmation message lists who was emailed, and warns you about anyone who couldn't be.

## Change a saved shift

The sheet only adds new shifts. To change or delete a saved shift, use the **Summary** tab. See [Allocate or edit a shift](https://support.rotapad.com/add-edit-rota.md).
